Solution
The Correspondence Tracking and Management System was designed and implemented as web solution to make it easier to record and manage correspondences using only a web browser. Through this online system, disputes are resolved faster with well-documented project communications. It also enables creation and sending of announcement and general correspondence notices to project team members.
The main features of the Correspondence Tracking and Management System include the following:
Creation, storage, and tracking of unlimited correspondence folders, assignments per correspondence item, extended notes per correspondence item, "regular" correspondents, and "one-time" correspondents.
Security features:
Add a watermark on each opened document with User ID.
Allow or deny print or download attachments.
Standard reports on open, past due, and completed correspondence or completed assignments.
Basic correspondence tracking features, including:
Systematic filing and organization of correspondences into electronic folders.
Cover sheet, assignments, and notes in each folder.
Correspondence classification through user-designed categories
Assignments classification through user-designed actions.
Dates tracking:
- Correspondence written and received
- Correspondence due (for entire folder)
